What an Awesome Feedback Request Message Looks Like
A great message is a short paragraph, and here’s your basic template for it:
Hi (name)
Thanks so much for ordering (product name). We want to make sure you’re happy with everything. Positive feedback would be awesome for us because then it’ll show other buyers they’re making the right choice, so we’d appreciate if you could leave a review.
To make things really easy for you, here’s a link where you can write a review. And if there was anything you thought needed improving, let us know and we’ll do our best to make things right for you.
Thanks so much, (your name).
Remember to include these five points in your message and you’ll do well:
- The buyer’s name, the product’s name they ordered, and where they ordered it from.
- Checking in to make sure everything went fine with the order.
- Subtle, indirect language that asks for a positive review (remember to never directly ask for a positive review because that’s not allowed).
- Include a link that’ll take them to the feedback page.
- Tell the buyer you can help fix anything that went wrong.
Switch Things Up Every Once in a While
If you only get one-and-done buyers, then by all means, use the same template for every feedback message you send out. But if you get any repeat buyers at all, then you’ll need to change the format slightly so it doesn’t feel like a generic form letter you’re sending them.
One way is to create several templates you can switch between. This should be standard practice already for the very basics (i.e. different spelling for buyers in different countries, like British English, American English, etc.), but you should be ready with a variety on hand to keep things fresh. Message at the Optimal Time
If you email your buyer at 2am on the weekend in their time zone, they’re probably not going to respond very quickly, if at all. But if you wait until something like a Tuesday at 5:30pm, you’re much likelier to get a response.
Timing also matters when it comes to how soon after the order has been completed. If you email right after they’ve purchased the product, it’s too soon. Give them several days after they’ve received it so you can time the review with their having used the item.
Try and Anticipate Their Questions and Needs
I purchased a pair of noise-cancelling headphones last year. It seems like a pretty basic thing, right? Open up the box, start using them, and…well, nothing after that. But the company included a piece of paper with instructions on things I didn’t even think to ask, like how to switch between ‘regular’ mode and noise-cancelling mode, how to fold them so they’d be flat, and a link to their website where I could register for a free extended warranty.
Three guesses what kind of review I left for them…!
Never Settle for Negative Feedback
As another example, I ordered a CD set on Amazon as a Secret Santa gift. I wasn’t terribly happy when the gift was way late past its expected arrival date, so I left a review stating my unhappiness. But then the company emailed me right away and explained that sometimes things get held up in customs, and could I give them just two more business days before leaving my review up permanently.
It didn’t change the fact that the product was late, but it did change how I altered the review. Instead of leaving it how it was, I edited it to say that they answered me right away and explained the difficulties, and offered to refund me everything if it didn’t arrive within the two days. Sometimes things happen that are out of your control, but how you respond to it isn’t.
